The tickets sell. The admin after them is where events lose money.
I run Caribbean nights in London and a Notting Hill Carnival band. I've built the systems that handle the orders, reconciliation and chasers behind them.
Where the money goes once an event is on sale.
Selling the tickets or costumes is the part everyone plans for. The cost hides in what comes after: orders to post, courier invoices nobody checks, duplicate bookings, refunds, and an inbox that fills every time something goes on sale.
These are the numbers from one carnival season with Omnia, the mas band I run alongside Busspepper.
- £1,931 saved with one email
Last year's courier invoice billed London parcels at the remotest zone's rate. One email got the official rate card.
- 159 orders posted and reconciled
Every order matched to its printed label, so there was no guessing about what had actually shipped.
- 112 phantom bookings traced
Courier “exceptions” that turned out to be one upload run twice. Each was matched to its twin. No parcel was lost.
- 8,140 emails turned into a playbook
149 ready answers across 30 question types, each marked to send automatically, draft for a person, or leave to a human.
What I build for events businesses.
Built for my own events first, on the tools an events business already runs: e-ticketing, a CRM, a Shopify store, Stripe and Revolut payments, and a 3PL for anything that ships.
Order and ticket admin
Orders, tiers, collections and refunds handled in bulk, not one row at a time on the night before.
Reconciliation
What was sold, what was paid and what actually shipped, checked against each other so the gaps show up early.
Invoicing and reporting
Supplier invoices checked, and a short report on sales and spend while there's still time to act on it.
Email triage
The same customer questions answered from a playbook, with a person approving anything that isn't routine.
Handover with training
Every login in your name, a one-page guide and a short video for each system, and training for whoever runs it.
Run on my own events first.
Both of these are my businesses. Everything on this page ran there, with real customers and real deadlines, before I offered it to anyone else.

The Systems Audit is how every engagement starts. I watch how an event actually gets sold, posted, chased and reconciled, put a pound figure on each leak, and hand you a priced plan. One fix gets done before I leave.
Systems Audit
5 working days
- Time & Sales Leak Report
- 90-day roadmap, priced
- One quick fix, done
- Credited against any build within 30 days
All prices exclude VAT. Third-party tool subscriptions (e.g. Shopify, Brevo) are billed to you directly and always in your name, never mine.
This is for you if
- You're a promoter, a carnival band, a venue or an event manager, and you do most of the admin yourself
- Tickets or costumes sell online, but orders, couriers and refunds still get sorted by hand
- Your inbox fills up every time something goes on sale
- You want it built, handed over and explained, not another platform to learn
Probably not, if
- You want an agency to produce the event itself
- You're looking for someone to post on social media every day
- You haven't sold an event yet (come back once you have customers to look after)
- You want a chatbot for the sake of having a chatbot
From the promoter’s side of the desk.
I'm Mateen. I've run Busspepper, Caribbean events in London, since 2003: club nights and concerts. I also run Omnia, a Notting Hill Carnival mas band and float.
From 2004 to 2012 I was a Head of IT, with ITIL v3 and PRINCE2 Practitioner behind me, so the systems side isn't new. One person, start to finish, and nothing reaches your events until it has worked on mine.
Got an event going on sale soon?
Book a free 20-minute call. We'll talk through where your events lose time or money after the tickets sell, and what's realistic to fix first. You'll get a one-page note of what I heard by the next day.
